Help new trials reach the key action, check in once they’re active, and send your own checkout link only when they choose a plan. Every answer lands in HubSpot, so sales sees who is ready.
Help first. Checkout when they’re ready.
Marcus is ten days into a trial of Acme Analytics. Each step shows what he sees on WhatsApp and what lands on his HubSpot record, from the check-in to his checkout or a call. Your answers in the Flow decide the branch. All but the owner are custom properties the play creates.
Day 10, a pricing visit or a question. Pick one.
Day 10, a pricing visit or a question. Pick one. On day 10, the check-in lands on WhatsApp. Five minutes after the pricing page, the check-in lands. He asked first, so the check-in goes back at once. Answer as Marcus. Your first tap decides the branch. Three answers, three clean properties. Ready to choose, so the checkout goes back. Not yet, so a person helps instead of a hard sell. Checkout sent. Paid when your billing writes the plan. Grace has it, with time to finish. Goal in reach.
Yes, ready: send the checkout for their plan
Not yet: a person helps, and time to finish

Step 1 of 5, the trigger: Marcus reaches day 10 of his trial with the key action done, and the workflow enrols him.
Workflow triggers and actions need HubSpot Professional or Enterprise. Workflow actions guide
Scan the code with your phone to open one in WhatsApp. It’s Flowella’s own Flow, not this playbook.
Open it in WhatsApp (opens in a new tab)A welcome on day 0, help for quiet trials, then a check-in for active ones and one branch: ready buyers get your checkout and the rest get a person. You build it in a HubSpot workflow, from Flowella’s WhatsApp triggers and actions.
trial_status set to trialing in HubSpot by your own app.
Flowella reads HubSpot. Write the trial, its end date and the key action to the contact.
The trial length and the one thing to try first.
trial_activated fired by day 3?No: setup help and a Breeze Customer Agent. Yes: on to day 10.
Ask an inactive trial to pay and it burns goodwill. Help it reach the key action first.
A pricing visit or a WhatsApp question can start the check-in sooner.
trial_checkin, with the Flow button “Choose what’s next”.
The question behind an upgrade is often whether their work survives. Answer it first.
The answers land as trial_next_step, plan_interest and trial_feedback.
No answer in 2 days: the owner gets a task.
trial_next_step ready to buy?Ready goes to checkout; more time or setup help goes to a person.
trial_checkout, with your own billing link
Your billing system writes the plan to HubSpot and the workflow ends
A named person, before any message names them
trial_help, with a round-robin meetings link that puts the owner first
More time and setup done, then the check-in again
Offer more time or setup help before any discount, from a named person.
Workflow triggers and actions need HubSpot Professional or Enterprise. The answers land as contact properties on every HubSpot plan, Free included. Workflow actions guide
Three WhatsApp templates and the Flow they open carry the check-in, and the day-0 welcome follows the same style. Each one reads well on a phone, and every variable comes from the HubSpot record.

Which plan fits?
The Flow, Your trial’s next step: where are you with the trial (ready to choose a plan, I need a little more time, stuck on setup), which plan fits (Starter, Team, not sure yet) and an optional question, what would help you decide.
Marcus’s Flow, with ready to choose a plan and Team chosen, and the optional question left blank.
Readiness, a plan and an optional question. Each answer lands as its own property.
trial_checkoutMarketingEnglish (UK)Sample data
Sends when trial_next_step is ready to choose a plan
Their plan named, one link to your own billing page, and a promise their work comes with them.
trial_helpUtilityEnglish (UK)Sample data
Sends for more time or setup help, once an owner is set
A named person, a calendar link and room to finish, instead of a hard sell.
Sample templates. Meta approves each template before it can send, and the Send WhatsApp Template action maps HubSpot properties to its variables.
The play captures all five, and each lands in HubSpot as something a workflow can read, not a hunch about who will convert.

A stalled trial rarely tells you why. WhatsApp gives each one a direct line from sign-up to the key action, to help, and to a plan.
People sign up with intent and lose it before they reach the moment that proves the product. A message in the chat they already use brings them back while there’s still time.
Trigger on product events your app writes to HubSpot, route team accounts to sales, assign a Breeze Customer Agent to setup questions, and map the end date as a text property.
Don’t message every login, stop the moment the plan is paid, keep hard selling out of week one, and map dates as text: a raw date property arrives as 20.10.2026 00:00.
The point: trials convert when people reach value before the clock runs out.
The HubSpot + WhatsApp Playbook, Vol. 01, puts each play on a two-page spread: why and when it works on the left, the blueprint on the right, and the WhatsApp copy ready to paste. Trial-to-Paid SaaS is one of them.
